Terms & Conditions

The terms that apply when you book through our desk: what we do as your agent, what the airline remains responsible for, how fees work, and where you stand if a trip goes wrong.

Last updated September 20, 2026

01

Agreeing to these terms

These terms are the agreement between you and Wayfare Travel Desk covering your use of this website and any booking you make through our desk on (844) 213-5611.

By browsing the site, or by asking us to search, quote or book travel, you accept these terms. If you do not accept them, please do not use the site or the booking desk.

Please read section 2 in particular. It sets out what we are and what we are not, and it is the part people most often get wrong about services like ours.

02

We are a travel agency, not an airline

Wayfare Travel Desk is an independent travel agency. We are not an airline, a tour operator or a government body. We are not affiliated with, appointed by, sponsored or endorsed by any airline, and we are not any airline’s customer-service line.

Where we name an airline, we do so only to identify the flights we can look up or book for you. Airline names, codes and logos remain the property of their owners and their use here does not imply any relationship between us and them.

If you are trying to reach a specific airline about a booking you made somewhere else, we will tell you so and point you to their own contact details rather than keeping you on the phone.

When we book travel we act as your agent in dealing with the airline or other supplier. The contract of carriage — the agreement that actually gets you on the plane — is between you and the operating airline, on that airline’s own conditions of carriage and fare rules.

03

Quotes, prices and availability

Airfares change constantly and are only held when a ticket is actually issued. Any price we quote is based on the fare and availability we can see at that moment, for the dates, routing and passenger details you have given us.

A quote is not a booking and is not a guarantee. Until a ticket is issued, the fare may change or become unavailable — including while we are on the call with you. If that happens we will tell you the new price and you are free to decline it.

Prices we state include the airline fare and the taxes, fees and carrier charges known to us at the time, plus our service fee. They do not include anything we tell you is separate — seat selection, checked baggage, meals, insurance, visas, or airport charges collected locally.

We check our quotes carefully, but if an obvious error means a price was clearly wrong, we are not obliged to honour it. We will tell you promptly, offer the correct price, and refund anything you have paid if you decide not to go ahead.

Nothing on this website is an offer to sell travel at a stated price. There are no fares published on this site for that reason.

04

Our service fee

We charge a service fee for finding, booking, ticketing and servicing your itinerary. The fee depends on how complex the trip is.

We will tell you the fee, as a specific amount, on the call and before you authorise any payment. If you would rather book the routing yourself now that you know it, that is entirely your right and we will not press you.

Our service fee is separate from the airline fare and is charged for the work we do. It is generally non-refundable once we have issued a ticket, because at that point the work has been performed — even where the airline later refunds the fare itself. We will always say so on the call.

Any charge for later changes or cancellations is quoted to you before we act on the request.

05

Payment and authorisation

We take payment only for an amount you have specifically agreed during the call. We do not charge a card speculatively, and we do not store card details to bill you later without asking.

You confirm that you are authorised to use the payment card you give us, and that the details you provide are accurate.

Depending on the fare, the charge may appear on your statement from us, from the airline, or from both — for example airline fare on one line and our service fee on another. We will tell you which to expect.

If a payment is declined, reversed or charged back, we may cancel the booking. The airline’s own cancellation rules and charges will apply to that cancellation.

06

Your responsibilities as a traveller

Some things only you can get right, and airlines are unforgiving about them. You are responsible for:

  • Giving us each traveller’s name exactly as it appears on the travel document they will fly with — most airline tickets cannot be transferred and many cannot be renamed
  • Checking the confirmation we send you as soon as it arrives, and telling us straight away if anything is wrong
  • Holding a valid passport, visa, transit permit, or any other entry document your whole route requires — including countries you only change planes in
  • Meeting any health, vaccination or entry requirements for your destination
  • Arriving at the airport in time for the airline’s check-in and boarding deadlines
  • Reconfirming your flights before departure, as schedules can change after ticketing

We will flag document requirements we are aware of, but entry rules change often and are ultimately between you and the authorities of the countries you are travelling through. Requirements should be confirmed with the relevant embassy or official government source. Being denied boarding or entry for missing documents is not something we can refund.

Travel insurance is your decision and we recommend arranging it. We do not underwrite insurance.

07

Changes, cancellations and refunds

What you can change, and what it costs, is set by the fare rules of the ticket you bought — not by us. Many cheaper fares are non-refundable and non-changeable. We will tell you the rules that apply to the specific fare before you agree to it.

To change or cancel, call the desk. We will apply the airline’s rules, quote any airline penalty plus our own handling charge, and only act once you confirm.

Where the airline owes you a refund, we pass it on once we receive it. Airline refund timescales are set by the airline and can run to several weeks or longer; we cannot speed that up and we do not fund refunds in advance out of our own pocket.

If the airline cancels or significantly reschedules your flight, your rights are against that airline under its conditions of carriage and any passenger-rights rules that apply to your route. We will help you rebook or pursue the airline, but we are not the party that owes you the remedy.

08

What we are responsible for

We are responsible for taking reasonable care in the agency service we provide: searching accurately, telling you the fare rules we are told, issuing the ticket you agreed, and passing your details correctly to the airline. If we get that wrong, tell us and we will put it right.

We are not responsible for the acts or omissions of the airlines and other suppliers whose services we book. That includes delays, cancellations, schedule changes, missed connections, overbooking, denied boarding, diversions, lost or damaged baggage, service on board, strikes, weather, air traffic control restrictions, mechanical problems, and the insolvency of a carrier.

To the extent the law allows, we are not liable for indirect or consequential losses — lost earnings, missed events, non-refundable hotels, or the cost of a trip that did not happen as planned.

Where we are found liable for a booking we handled, our total liability is limited to the amount of the service fee you paid us for that booking, except where the law does not permit such a limit.

Nothing in these terms limits liability for fraud, for death or personal injury caused by our negligence, or for anything else that cannot lawfully be excluded. Some jurisdictions do not allow certain exclusions, so parts of this section may not apply to you.

09

Calls to the booking desk

Calls to (844) 213-5611 are charged at your carrier’s rate for the applicable number type. We do not levy a premium charge for the call itself.

We may record or monitor calls for training, quality and record-keeping, and you will be told at the start of the call where we do. How recordings are handled is covered in our Privacy Policy.

We ask that you treat the people on the desk civilly. We reserve the right to end a call and decline to act for anyone who is abusive to our staff.

10

Using this website properly

You may use this site to learn about our service and to contact us. You may not:

  • Scrape, harvest or systematically extract content from the site
  • Copy the site’s text, design or images to pass off a service as ours, or to impersonate us or any airline
  • Attempt to interfere with, overload or gain unauthorised access to the site or the systems behind it
  • Use the site or the desk to make speculative, fraudulent or duplicate bookings

The text, layout, photography and code of this site belong to us or are used with permission, and may not be reproduced without our written consent.

We aim to keep the site accurate and available, but we do not promise it will be uninterrupted or error-free, and we may change or withdraw any part of it.

11

Complaints

If something has gone wrong, contact us first — call (844) 213-5611 or email desk@wayfaretraveldesk.com — and give us the booking reference and what happened. We would far rather fix a problem than argue about it.

Complaints about the flight itself — delays, baggage, on-board service, denied boarding — generally have to go to the operating airline, because they are the ones who carried you and they hold the remedy. We will tell you where to send it and help you put it together.

Bring any complaint to us as soon as you reasonably can. Some airline claims have strict time limits, and a late claim can be refused for that reason alone.

12

Governing law and jurisdiction

These terms are governed by the laws of [Add your governing state], without regard to its conflict-of-laws rules, and the courts of that jurisdiction will have jurisdiction over any dispute.

If you are a consumer, this does not take away the protection of any mandatory consumer law of the country where you live, or your right to bring proceedings there where that law allows it.

Where the state we operate from requires a seller-of-travel registration or similar licence, our registration is: [Add your seller-of-travel registration number, if required in your state].

13

Changes to these terms

We may update these terms as our service or the law changes. The current version is always the one published here, with the "last updated" date at the top.

The terms that apply to your booking are the ones in force when we issued your ticket. A later change to this page does not retrospectively alter a booking you have already made.

14

Everything else

If any part of these terms turns out to be unenforceable, the rest continues to apply.

If we do not enforce a term straight away, that is not a waiver of our right to enforce it later.

These terms, together with the Privacy Policy and what we confirm to you in writing for a specific booking, are the whole agreement between us on this subject.

Questions about any of this: (844) 213-5611 or desk@wayfaretraveldesk.com. Post reaches us at [Add your registered business address].
